Virtual Visits

A virtual visit is defined as a visit with a prospect by phone or video, in lieu of an in person visit. Use these when you would normally meet in person, but there are reasons why that is not ideal. Just as with in person visits, if you intend to have a virtual visit with an assigned prospect you should contact that prospect’s Team Leader prior to reaching out.

Use a Virtual Visit When:

  • A scheduled face-to-face visit was cancelled and a virtual visit is the best alternative

  • You want to continue to do discovery, qualification, and cultivation work during a time when travel is not an option

  • A donor has expressed that they are open to a solicitation during a time when travel is not an option

  • You want to continue to steward donors for their gifts during a time when travel is not an option

  • When travel is an option, you reach out to a prospect for a visit during a trip but they are unavailable and a call or Zoom meeting is scheduled instead

  • When travel is an option, a prospect/donor lives in a place no one on the team travels to and you want to qualify/recruit/steward via a call or Zoom

 


 

There are Specific Conditions a Contact Must Meet to Qualify as a Virtual Visit:

  • Scheduled in advance with a distinct goal (purpose) around qualifying, cultivating, or soliciting a prospect

  • Stewarding a donor (defined as "efforts to properly thank the donor for their gift")

 


 

 The Following are not Considered Virtual Visits:

  • Phone or Zoom contacts for end of year annual fund solicitations, event planning, and volunteer management (including UVA club leaders)

  • Phone or Zoom contacts for "check-ins" or scheduling a later visit or virtual visit

  • Emails 

  • Virtual events
